DECISION GUIDE 01

Identify whether you sell a product rental or deliver a production

The Rentman platform brings crew, equipment and projects into the same operational context. Its official site describes planning availability, tracking equipment, preparing quotes and communicating with crew. For AV businesses, this can reflect the real work more closely than a simple product catalog: the same equipment list may involve several venues, transport movements and technical roles.

Rentshelf is designed around physical products rented through Shopify. Customers choose dates and configuration, then the team follows the booking through pickup and return. That is a useful scope for dry hire or customer-collected equipment, but it should not be interpreted as a replacement for workforce scheduling or production planning.

Classify recent jobs before evaluating the tools. Separate straightforward item reservations from jobs that require crew assignments, technical planning or repeated quote revisions. The proportion of each is more useful than a generic feature count. A mixed business may need to retain its production system even if it changes the online ordering experience.

Test equipment capacity at the kit boundary

Rentman documents availability planning, shortages and subrentals, with equipment tracking offered through its product and add-on structure. Ask the supplier to show how a kit consumes its components and what happens when a component is borrowed for another job. Confirm the module included in the quote rather than assuming every warehouse feature is part of the entry configuration.

For Rentshelf, configure a rental product using the actual stock you promise online. Follow the variant stock instructions for models with different quantities. Start with two speaker models, a weekend package and a preparation buffer. Try an overlapping order, then inspect what remains available for a different model on the same dates.

If a cable, stand or microphone is independently scarce, do not assume its presence in a product description reserves it. Demonstrate the exact add-on or product capacity behavior you intend to use. Price the people who plan, not just the people who log in

Rentman pricing uses a platform fee plus selected products and paid power-user licenses. Its page distinguishes power users who plan or manage commercial work from basic users who execute assigned work. Products and add-ons change the quote, so a single headline price would hide the configuration that an AV team actually needs.

List the people who edit plans, prepare quotes and manage inventory, then list those who only need their assignments. Run the current pricing calculator with the required products, tracking and invoicing options. Ask how changing a staff member’s role affects licensing and whether every power user needs the same selected package.

Rentshelf charges by plan, with Starter at $9.99 per month and Growth at $19.99 per month in USD, separate from Shopify. Those app prices do not include replacing crew, transport or project software. When comparing the options, include the cost of any operational tools you would retain and the staff effort of keeping their records consistent.

Plan changes and migration around live events

Use a fictional conference to test a late change: the client adds a room after the equipment has been prepared. Identify the person who approves the change, how additional stock is reserved and how the customer sees the new amount. Then remove an item and check the resulting records. Treat this as a demonstration request, not a claim of tested behavior.

A migration should preserve future events, quoted prices, crew commitments, subrentals and outstanding equipment. Product CSV import on Rentshelf Growth is not an event-project import. Do not expect it to recreate a production timeline, crew roster, signed quote or historical invoice. Keep the original system available where those records remain authoritative.

For a Shopify pilot, choose a small dry-hire range and a clear cutover date. Verify the customer order, preparation list and return record before expanding. If a unified event plan is essential and a second system would introduce repeated manual reconciliation, retaining Rentman may be the more appropriate decision.

In this illustrative example, a customer rents two powered speakers for the weekend and collects them from your store. Product quantity, dates, accessories and return condition are the main constraints. Another customer asks for the same speakers plus a technician, transport and a setup schedule across three rooms. The second job needs coordinated resources and project decisions. Test both scenarios if both generate meaningful business; a successful self-service speaker order does not prove the conference workflow can be retired.

Can I replace crew scheduling with a rental calendar?

No. Equipment availability does not establish staff availability, roles, travel or shift commitments. Keep a suitable workforce process when those constraints determine whether an event can be delivered.

How should I compare Rentman pricing?

Build a quote from the platform, selected products, add-ons and number of power users. Identify which staff only need basic access. Compare that operational scope with Rentshelf plus Shopify and any production tools you still need.

What is the most useful kit test?
