Start with the thing that can run out

Appointment platforms usually express capacity as seats, staff calendars or timeslots. A physical rental has another constraint: the same serialized or counted item cannot be in two places during overlapping possession windows. Write down what becomes unavailable when a customer books.

For a group class, ten seats at 14:00 may be the correct model. For five projectors rented Friday through Monday, the whole interval, preparation time and return status affect the next promise. Test that interval with quantities greater than one.

  • Name the scarce resource: staff time, seats or physical units.
  • Create an overlapping booking and confirm what becomes unavailable.
  • Check whether turnaround time is represented explicitly.

Compare plan limits against a normal month

Cowlendar's published paid tiers use booking revenue thresholds, while Rentshelf's plans use rental catalog size and calendar horizon. These measures are not interchangeable. A small catalog with high-value bookings can reach a revenue threshold quickly; a large low-frequency catalog can reach a product limit first.

Use the last complete month to estimate booking revenue, number of rentable products and furthest advance reservation. Then price the tier that fits all three, including any Shopify subscription and usage-based charges disclosed by the provider.

A calendar can look polished while leaving staff to rebuild the handoff in notes or spreadsheets. Complete a test order and ask what record the preparation team opens, where the amount still due appears, and how the item is marked returned.
