Authority should be clear before equipment leaves

When someone other than the named customer collects a rental, staff need an agreed way to verify that the handoff is authorized. Define the store's process before the counter becomes busy. A person knowing the customer's name or order value is not automatically sufficient evidence that they may take the equipment.

Collect the minimum information needed

Decide which details staff must compare and how long the store needs to retain the handover record. Do not copy full identity documents into free-text notes by default. Recording excessive personal information can create risk without making the decision clearer.

A compact record might contain the booking reference, authorized collector name, authorization source, staff member and handover time. If the store requires additional evidence, document the purpose and protect it through the appropriate system. This article does not establish a universal requirement for identification documents.

Check the equipment and payment separately

Before handoff, confirm the product, variant, units, accessories and return instruction with the collector. Use the condition checklist where appropriate. The fact that the person is authorized does not prove the kit is complete, and a complete kit does not prove any outstanding balance was paid.
