Was the first conversation an enquiry, a promise to hold the item or a confirmed booking? If the team cannot answer consistently, the problem starts before anyone opens the calendar.

Choose clear meanings for those stages. An enquiry gathers requirements. A quote communicates a proposed arrangement. A reservation commits capacity according to your process. Payment status is another piece of information; it should not be used as a vague substitute for knowing whether stock is reserved.

Decide whether the proposal should block inventory

A quote is not automatically a stock reservation. For example, Booqable’s documentation says a saved draft leaves the products available, while reserving an order removes that capacity for the chosen dates. That is a useful illustration of why the distinction matters, but your installed app’s behavior needs its own check.

If your business offers a temporary hold, define how it is created, who monitors it and when it expires. Do not write “held until tomorrow” in an email unless the availability system and staff process actually honor that promise. A manually managed hold requires a real follow-up task; an expiry sentence does not release inventory by itself.

For the projector enquiry, the team might explain that availability is not guaranteed until confirmation, or deliberately reserve the item under an agreed hold process.
